Receipts, payments and transfers

Record money in and out, and allocate it to invoices.

Updated

Before you start

  • Create the cash and bank ledger accounts, and the customer or supplier.

Record a customer receipt

  1. Open Payments and choose to create one, with the type RECEIPT.
  2. Choose the customer and the cash or bank account that received the money.
  3. Enter the date, amount, method and reference.
  4. Allocate it to one or more open invoices, or leave it as an advance.
  5. Save and check the allocations.

Result: Cash or bank and the customer balance update, and the invoices show their new balance due.

Record a supplier payment

  1. Create a payment with the type PAYMENT.
  2. Choose the supplier and the paying account, enter the amount and allocate it to purchase invoices, fully or in part, or leave it as an advance.
  3. Save. If your approval policy covers supplier payments, submit it for approval; it can be posted only once someone other than you has approved it.

Result: The supplier balance and the invoices’ balance due update. An advance can be applied to a later invoice, up to its remaining balance.

Move money between your accounts

  1. Create a payment with the type TRANSFER.
  2. Choose the source and destination accounts and the amount, and save.
