Trading Companies: the challenges

Where trading businesses lose margin and money.

A trading business lives on the gap between what it buys and what it sells, and on getting paid. Both are hard to see when buying and selling sit in different places.

  • Buying and selling in separate books

Purchases are entered by one person, sales by another, and stock is worked out in between.

  • Margins seen only at year end

Profit is known when the accountant closes the books, not while trades are happening.

  • Supplier dues missed

Which supplier bills are due, and which payments cover which bills, is tracked by hand.

  • Customer credit out of control

Outstanding amounts per customer, and how old they are, are not visible at a glance.

  • Returns that break the stock count

Goods returned by customers or to suppliers are noted, but stock and GST are not corrected.

How it works

Every trade, from the supplier to the collection.

The supplier’s bill, the customer’s order, the delivery and the invoice are linked documents, so stock, payables and receivables update themselves.

  3. Purchase invoice

The supplier’s bill, created from the receipts or entered directly, records the stock cost and GST and posts to payables, with a due date from credit days.

  4. Inventory

Stock by store and batch, with the stock valuation report at weighted average purchase cost.

    Inventory module page
  5. Customer order and delivery

Record the order, deliver it in full or in parts, and see pending quantity.

    Sales Orders module page
  6. Sales invoice

Invoice from the delivery challans, or directly, with GST worked out and the journal posted.

    Sales Invoicing module page
  7. Collection

Receipts are allocated to customer invoices; supplier payments are allocated to bills.

Entered once: Purchases and sales post their own journals, so payables, receivables, stock value and profit and loss come from the trades themselves, not from a second round of entry.

FAQ

Trading Companies: common questions

Does AYBN ERP show what each customer and supplier owes?

Yes. Receivables and payables reports show outstanding amounts by party with ageing, and every party has its own ledger.

How is stock valued?

Purchase invoices record the cost of what you buy, and the stock valuation report values the stock you hold at weighted average purchase cost for the financial year.

Can I handle returns from customers and to suppliers?

Yes. Sales returns with credit notes and purchase returns with debit notes correct stock, the books and GST.

Does AYBN ERP show profit per item?

Not as a separate report today. Profit and loss, periodic P&L and stock valuation are available from the posted trades.
