Connect AYBN ERP With Your Business Services

Generate e-Invoices and e-Way Bills from your sales invoices through the White Books GSP, and connect your own business mail server. Every service on this page is labelled with its real status, so you know what works today.

AYBN ERP — Your Business, Connected.

Overview

Connected where it matters, honest about the rest.

An integration is only useful if it moves work forward inside your business. Each card below explains what the service does in the AYBN workflow, which status it has today, and what you need from an outside provider.

  • Built into the workflow

e-Invoices and e-Way Bills start from the sales invoice you already raised, not from a separate tool.

  • Your accounts, your credentials

Services that run through a provider use your own provider account and credentials, saved per company.

  • Clear status on every card

Available works today. Upcoming is planned and not available yet. Provider-dependent needs an outside provider.

White Books GSP: e-Invoice and e-Way Bill

e-Invoice (IRN) and e-Way Bill through the White Books GST Suvidha Provider (GSP).

Generate the e-Invoice from a sales invoice, then the e-Way Bill from the same invoice. AYBN sends the invoice data through your GSP account, and the IRN and signed QR code come back onto the invoice. You can cancel either one from AYBN too.

    Use it for

    • Generate the IRN and signed QR code for a B2B invoice
    • Generate the e-Way Bill for the goods on that invoice
    • Cancel an e-Invoice or e-Way Bill raised in error
    • Keep IRN details on the invoice for GST reports and prints

What you need: Works through the White Books GSP. Needs your GSP credentials saved in AYBN, and depends on the GSP and the government e-Invoice and e-Way Bill systems being available. AYBN is not the government portal.

  • Available

    Email & SMTP

    Email / SMTP

Connect your company’s own mail server to AYBN ERP.

An organisation admin saves your SMTP host, port, sender address and password, with the password stored encrypted, and runs a connection test before saving. Mail from AYBN will then go out from your own business address, not a shared one.

    Use it for

    • Set up your own business mail server for each company
    • Test the connection before you rely on it

    Upcoming

    Upcoming
    • Sending quotations and sales orders by email (upcoming)
    • Sending invoices, with templates and delivery tracking (upcoming)
    • Payment reminders and business notifications (upcoming)
    • Sending reports and documents (upcoming)

What you need: Needs your email provider or mail server’s SMTP details: host, port, user and password. Sending limits are set by your provider.

Works with files, no provider needed

  • GST portal files

    Available

Export GSTR-1 JSON for the GST portal and upload GSTR-2A/2B files for reconciliation.

  • Excel export

    Available

Export financial, GST and stock reports to Excel for your accountant or auditor.

Upcoming

Upcoming integrations

These are planned and not available yet. We do not publish dates until we can commit to them, and we name a provider only after its integration is verified.

  • UpcomingProvider-dependent

    Customer messaging

    WhatsApp Business

Customer updates on WhatsApp, through an authorised WhatsApp Business provider.

Quotations, order and delivery updates, invoices and payment reminders will go to customers on WhatsApp from the same records you work on in AYBN, with customer opt-in and approved message templates.

What it will be used for

    • Sending quotations
    • Order and delivery updates
    • Invoice communication
    • Payment reminders

What it will need: Will need an account with an authorised WhatsApp Business provider. The provider will be named once its integration is verified.

  • UpcomingProvider-dependent

    Payments

    Payment gateway and payment links

Online payment links for your invoices, through a supported payment provider.

You will send a payment link with an invoice, the customer will pay online, and the receipt will settle the invoice in AYBN, including part payments and refunds, so collections are not tracked by hand.

What it will be used for

    • Easier payment for customers
    • Faster collections
    • Less manual payment tracking
    • Receipts matched to invoices

What it will need: Will need a merchant account with a supported payment provider, and that provider’s fees will apply. No payment provider is integrated today.

  • Upcoming

    Banking

    Bank statement import

Import bank statements and reconcile them with your books.

You will import statement files (CSV or Excel) with duplicate checks, then match bank lines to the receipts and payments already in AYBN, including partial and grouped matches.

What it will be used for

    • Bank transactions visible next to your books
    • Bank reconciliation with suggested matches
    • Spot unrecorded receipts and payments

What it will need: Will work from the statement files your bank provides. No bank connection needed.

  • UpcomingProvider-dependent

    Banking

    Connected banking

Supported bank accounts linked to AYBN for automatic statement sync.

Statement lines from supported bank accounts will flow into AYBN without a file import, ready for the same reconciliation.

What it will be used for

    • Bank transactions without manual imports
    • Reconciliation kept up to date

What it will need: Will depend on the bank or banking provider supporting the connection, and on your authorisation. No bank is connected today.

  • Upcoming

    Documents

    Document storage and attachments

Supporting files stored privately and attached to the records they belong to.

You will attach delivery proofs and other supporting files to more kinds of transaction, and open them from those records, with downloads limited to authorised users. Supplier bills can already be attached to purchase invoices.

What it will be used for

    • Store business documents
    • Attach files to transactions
    • Keep invoices and supporting files together
    • Open documents from the business record

Provider-dependent

Capabilities that depend on an authorised provider

Some compliance work can only run through a provider authorised for it. AYBN ERP will prepare and approve the work; the provider will submit it.

UpcomingProvider-dependent

GST & Compliance

GST return filing through an authorised provider

Filing GST returns from AYBN will run through an authorised GST filing provider, not through AYBN alone.

Returns will be prepared from the same books, reviewed and approved in AYBN, then submitted through an authorised provider, with the acknowledgement kept as filing evidence.

Today

Available

Today you prepare GSTR-1 in AYBN and export the JSON in the GST portal’s offline-tool format, then upload it on the portal yourself.

Not the same as e-Invoice

This is separate from the White Books GSP connection for e-Invoice and e-Way Bill, which is available today. Filing is not part of that connection.

What it will need: Will need an authorised GST filing provider, your credentials with that provider and the government GST system being available. Filing is not available until a provider confirms production submission.

How it fits

How integrations fit into the AYBN workflow

Each integration starts from a record you already keep in AYBN, so nothing is typed twice.

Providers and dependencies

What external services may need from you.

Some capabilities run through an outside provider. AYBN ERP does the business side, and the provider runs its own service. Depending on the service, you may need:

  • A provider account

For example, an account with your GSP or mail provider.

  • Credentials

Saved per company in AYBN, with passwords stored encrypted.

  • Service or API access

Enabled on your account by the provider, where it requires that.

  • Configuration

Set up once by an organisation admin.

  • Provider fees

Charged by the provider under its own terms.

  • Government requirements

Such as e-Invoice applicability and the availability of the government systems.

What AYBN ERP does for e-Invoice and e-Way Bill

Prepares the invoice data from your records, sends it through your provider account, saves the result on the invoice and keeps the record.

What your GSP and the government systems do

Runs its own service and connects to the government systems, which issue the IRN and the e-Way Bill number.

Provider services, fees and availability are set by each provider. AYBN ERP does not run the government GST systems.

FAQ

Questions about integrations

Does AYBN ERP generate e-Invoices and e-Way Bills?

Yes, through the White Books GSP. You save your GSP credentials in AYBN, generate the e-Invoice from a sales invoice, and then the e-Way Bill from that invoice. The IRN is issued by the government e-Invoice system, not by AYBN.

Do I need my own GSP account?

Yes. e-Invoice and e-Way Bill run on your own White Books GSP credentials, saved per company in AYBN.

Which email providers can I connect?

Any mail server that accepts SMTP with a host, port, user and password. AYBN tests the connection before you save it.

Can I email invoices from AYBN today?

Not yet. Connecting your mail server is available today. Sending invoices, quotations and orders by email from AYBN is upcoming.

Can AYBN file my GST returns?

Not today. Today you prepare GSTR-1 in AYBN and export the portal JSON. Filing through an authorised provider is upcoming.
