Users, roles and permissions

Add people to your company, create roles and decide what each role can see and do.

Updated

Before you start

  • You must be an administrator of the company.

Create a role

  1. Open Roles from the Admin menu and create a role, for example “Sales” or “Accounts”.
  2. Open the role’s grants and choose the screens it may use.
  3. For each screen, choose view, create, edit and delete rights separately.
  4. Save.

Result: A new role starts with no screens; it gets only what you grant.

Add a user

  1. Open Users from the Admin menu and choose to add a user.
  2. Enter their details and pick their role in this company.
  3. Save, and ask them to sign in and check that the right modules appear.

Deactivate a user who leaves

  1. Open Users and find the person.
  2. Change their status to inactive and save.

Result: They can no longer sign in, and any open session stops working. If the person also belongs to another company on AYBN, ask AYBN to deactivate the account.

Tips

  • Grant delete rights to as few people as possible; cancelling keeps documents on record.
  • Give your accountant a view-only role for ledgers and GST reports.
  • A company can have more than one administrator.
