Purchase operations: getting stock, cost and ITC right

How to record supplier invoices so that stock, item cost, supplier dues and input tax credit all agree, and how to handle purchase returns.

5 min read · Updated

A supplier invoice affects four things at once: stock, the cost of the items, what you owe the supplier and the input tax credit you may claim. Entering it once, carefully, keeps all four right.

Enter the invoice exactly as received

  • Supplier invoice number and date exactly as printed: these are what GSTR-2B matching uses.
  • Quantities, units and the store where goods were received.
  • Batch details where you track batches, so cost follows the batch.
  • Tax as charged by the supplier.

Returns and price differences

When goods go back or a price is reduced, record a purchase return or a debit note against the original invoice instead of editing it. Stock, the supplier balance and tax then all adjust from one document.

Pay against invoices

Allocate each supplier payment to the invoices it settles, so the payables list matches the supplier’s statement.
