Batch and serial tracking: which one does your business need?

The difference between batch tracking and serial number tracking, when each is worth the extra data entry, and how they help with cost, returns and warranty.

5 min read · Updated

Batch and serial tracking both answer the question “which ones?”, at different levels of detail. Choosing the right one for each item keeps data entry reasonable while giving you the traceability you need.

Batch tracking

A batch groups units that share something: a purchase lot, a cost, a manufacturing date or an expiry date. You track quantities per batch, not individual units.

  • Useful for items bought at different prices, so cost follows the batch.
  • Essential where expiry or lot recalls matter.

Serial tracking

A serial number identifies one unit. Every movement of that unit can be tied to its number.

  • Useful for electronics, machines and anything with a warranty.
  • Helps confirm that a returned unit is one you actually sold.

How to decide

  • If customers ask “which one did I buy?”, use serials.
  • If you ask “which lot or price did this come from?”, use batches.
  • If neither question matters, use neither and keep entry simple.

Common questions

Can ERP software manage serial numbers?

Yes. An ERP can keep a register of serial numbers for each item and, in fuller setups, record which serial was bought, delivered, sold or returned on each document. In AYBN ERP the serial register per item is available today; capturing serials on every document, with full traceability, is upcoming.
